The methods employed in the Human Resources Management System have changed over the years: The Human Resources Management System used in the past did not offer open architecture, flexible and integrated cloud services that constituted a social network while containing the sensitive data pertaining to the personnel at the same time.
In the past, the written documents pertaining to the Human Resources personnel were either kept in files or entered into the system through scanning. Since it was not possible to make any changes on a scanned document, every single change meant office work on a constant basis. Personnel were not able to participate in the process on a self-service basis.
Warnings, notices, defense requests, labor contracts, documents regarding terminations or annual leaves had to be sent to the recipients on a piece of paper bearing wet signature. Another method was the use of e-mails which could not be considered for legal claims. With the introduction of Registered e-mail (KEP) law in 2012, this particular process has become lawful in Turkey. Under the KEP system, the sender of an e-mail cannot claim that he did not send the e mail in question, nor can the recipient of the same e mail under the said system claim that he did not receive the said e mail.
The local Human Resources Management System software that is still being used in our country is not capable of establishing a social network that allows the existing employees of organizations to interact with the former employees, who possess the extensive knowledge of their respective corporations or even with their respective suppliers.
Such systems and applications as the workflow based Human Resources Management, digital library and active tracking of required parameters which are currently being utilized in the foreign headquarters of the global companies, but not usually utilized in their liaison offices in Turkey cannot be supported by the domestic software available in Turkey. The personnel are not able to manage the current software in one place through a single system. This in turn makes for an inefficient process where the records are kept on separate systems and multiple files are required to be followed up on programs such as Excel.
Today, however, it is possible for companies requiring Human Resources Management to make important economic savings by minimizing paper costs and speeding up their processes through the utilization of Smart Encryption systems equipped with advanced OCR Technology.

Organization scheme is the area where all the areas including the personnel's workplace, unit, department, division etc. are identified. Department changes on organization scheme can be arranged through drag and drop technology. Registration tabs are explained as follows;
Main Details | : | It displays the general details pertaining to the personnel such as registration number, profession, educational status, criminal record, driving license, military service status. |
Organization | : | It displays the respective division, unit, department, supervisors (direct, functional, leave supervisors) of the personnel. |
Job and Employment | : | This tab displays the details regarding the personnel's date of employment, Social Security, weekly working hours, labor contract as well as their transferred tax assessment and many other areas. |
Identity / Passport | : | It displays the personnel’s ID and passport details. Identity details can be transferred into the system through OCR module both in the form of front and back covers. |
Communication | : | It displays the communication details of the personnel including address, telephone and e mail addresses. |
Family Members | : | It displays the details of the personnel’s family members. Based on the details provided herein, minimum living allowance and declaration can be issued in the system automatically. |
Medical Details | : | It displays the medical reports, diagnosis and treatment details pertaining to the personnel and their families that are kept in accordance with the existing laws. |

Each and every action within the Boss HRM system is associated with a role. A list of action role authorizations has been created and the authorizations are identified based on the requests submitted.
Admin users may designate multiple roles in order to grant user authorizations to the sub modules in the users system, and every role can be configured in accordance with the authorization level of the previous user and the incoming requests. It is possible to identify multiple roles based on the authorizations of a user. User authorizations are identified under 8 titles: Administrators, HR Managers, Power Users, External Users, Account Owners, HR Support Users, OCR and Employees.
The authorizations are identified as follows.
Administrator | : | The administrator of the system in general and authorized to make all the necessary monitoring, arrangements and changes with respect to all the firms, users and modules. |
HR Manager | : | Authorized to check, arrange, supervise and report on the authorizations of all the personnel within the company. |
Power User | : | The user authorized by the HR Manager. |
External User | : | The user authorized by the HR Department from outside the company. |
Account Owners | : | It is an account opened for external users who provide consultancy services to the company. |
HR Support Users | : | They are authorized to check, arrange and report on the account details of all the company employees except for their wages. |
OCR | : | They have the authorization to process T.R. ID No Card details and conduct data transfer procedures. |
Employees | : | They are authorized to display their registration cards on a self-service basis, request registration amendments and ask for permission. |

Managing different shifts is a complicated process for a company with multiple workplaces. Boss HRM aims to keep track of personnel's shifts, working times, overtimes, leaves and sick leaves in the fastest possible manner.
The system has been designed in such a way as to accommodate the data manually entered by the users of various roles and the files transferred from excel format as well as to read data from the personnel attendance control system tools (such as cards, finger print processing systems). The system incorporates a grid style interpreter that arranges the data obtained from various personnel attendance control systems.

In order to carry out the personnel recruitment procedures in a quick manner, registration records can be created both manually and on the OCR module. If the personnel to be hired is still in the candidates section, an employee record can be automatically created for the said person based on his/her CV details by choosing the "hire" action on their profile.
By law, the documents required from the newly employed personnel are shown on a checklist. Recruitment process may be prevented due to lack of or incomplete documents.
The required items are automatically sent to the relevant department via e-mail from the system message center with respect to the newly recruited personnel.
For instance:
In order to create usernames and passwords for the newly recruited personnel to provide stationery tools, desks for their workstations, automatic messages are sent to the IT department or the purchasing department.
